Camperdown Tennis Terms and Conditions – General*

Cleanliness of our centre:

• No eating on the courts and please use bins provided (all off court) for the disposal of rubbish.
• Please leave the courts clean and tidy for the next players to use and enjoy.

Respecting our neighbours:
• There are residential dwellings nearby.
• We respect the amenity of our nearby residents and we ask the same of our players. Any inappropriate behaviour reported to the Camperdown Tennis team will lead to forfeiture of the use of the court(s).

Parking:
• There is a free 2 hour council car park adjacent to Camperdown Commons and Camperdown Park. We are not responsible for this parking area. Street parking is also available on Mallett Street and Australia Street.
• No parking is provided by Camperdown Tennis in conjunction with any class or court hire.

Time on courts:
• Time extensions and use of additional unbooked courts is not free of charge.
• Please book online if you wish to extend your booking.

Access:
• Our centre has security monitoring , including CCTV. Any unauthorised access will be reported to police.
• Is by 4 digit code and then the# key. You can get your own code by booking online via our website.

Coaching:
• Camperdown Tennis reserves the right to cancel any booking it deems is used for tennis coaching not offered in conjunction with Camperdown Tennis programs and competitions.

No smoking!
• Camperdown Tennis is strictly a non -smoking facility.

COURT HIRE BOOKINGS

By providing an online booking system, we want to keep this process as simple as possible. Please take the time to read the following Terms & Conditions to understand how Camperdown Tennis manages bookings and events.

1. Cancellation Policy
Please contact Camperdown Tennis via play@camperdowntennis.com.au in the event of any court booking cancellations.

Casual Court Hire Bookings
• Minimum 24 hours cancellation notice for casual court hire (Please try to give as much notice as you can so your court time or place can be used by another player.)
• RAIN – In the event of rain, we will advise if the courts are unplayable. If you don’t hear from us, its game on! We will only cancel bookings for rain if management deems it to be unsafe to play.
We will not cancel for light rain. Our courts dry in 10 to 15 minutes.
• For all bookings that are affected by unplayable weather or have been cancelled in the required space of time, Camperdown Tennis will grant a court credit.
• Camperdown Tennis court credits expire after three months (90 days) from the time the initial credit ls granted or until such a time as Camperdown Tennis ceases trading/operating at its present location. Camperdown Tennis does not refund any unused court credits. The onus is on players to use credits within the specified time period.
• A minimum of 48 hours cancellation notice for Special event casual bookings is required for full refund.

Wet Weather – lessons
• Private and group lessons are on regardless of forecasts. We will send you a text if your lesson is cancelled. It is your responsibility to ensure Camperdown Tennis has all your relevant current contact details.
• If less than half the normal lesson time is completed due to rain, then the unused portion of the lesson will be credited or made up.
• Lessons that are washed out after over half the allotted time has been completed will count as a full lesson.

2. Booking a court
• Camperdown Tennis reserves the right to: Make price changes without notice. Cancel any booking at short notice. (The Centre will contact you and re-assign a different time or give a refund if deemed appropriate). Re-assign a court other than the court which has been booked specifically online or otherwise.
• Camperdown Tennis requires pre-payment for all Permanent and casual bookings.
• The Centre does not take responsibility for booking conflicts. Pre-paid bookings take precedence over any booking claim. It is the client’s responsibility to provide evidence of any booking claim. Where the Centre is found to be in error, it will do its utmost to rectify the situation. However, please note that Camperdown Tennis reserves the right to cancel any booking at short notice.
• The use of our bookings system is for individual use only & is not re-saleable. Coaches are not permitted
to book courts without prior permission from Camperdown Tennis. Commercial Rates will apply. Event Management Companies must apply in writing to Camperdown Tennis outlining the exact details of the event that is to be held, before any booking considerations can be made.
• Extending your booking is not free of charge. Please book any extra time online. For example, if you have booked a court for an hour and play over the allotted time, additional court hire fees apply. This will be charged at the pre-paid rate in 30 minute amounts.
• Using an extra court or courts is not free of charge. If you use extra courts without booking online, additional court hire fees apply. This will be charged at the pre-paid rate for that time period divided by the time used.
• Camperdown Tennis offer tennis racquets free of charge. Racquets are available from the basket next to the drink machine. Please feel free to use and place back when finished. Thanks!
• Permanent Bookings that have been granted are only done so on the condition that the client understands the booking is not an indefinite fixture and may be needed by Camperdown Tennis at a later date. Camperdown Tennis bookings take precedence over any other booking.

COURT HIRE BOOKINGS – PERMANENT COURT HIRE

1. Payments
• To secure your permanent booking, your 5 or 10 week booking payment is due at the beginning of your block booking. Failure to do so will result in your booking being charged the full rate or cancellation of your booking.
• To be made when booking is requested.
2. One-off cancellations:
• A minimum 24 hour cancellation notice period is required to allow for court re-booking.
3. No Shows and last minute cancellations will not be credited.
4. Rain
• In the event of rain, we will send you a text if the courts are unplayable. If you don’t hear from us, then it is game on!
5. Cancellations
• 4 weeks-notice of permanent bookings cancellation is required. Any permanent booking cancelled will still be charged the full 4 weeks, so please let us know ahead of time.
• Camperdown Tennis reserves the right to cancel any permanent bookings in the event of a breach of these terms and conditions.

ALL COACHED PROGRAMS AND COMPETITIONS

Course Enrolment

1. Unplayable weather
• As with all outdoor activity, our programs are subject to the weather. Only Camperdown Tennis can determine if a class will not proceed due to the weather conditions. We will notify you via text if lessons are cancelled. If you don’t hear from us, then its game on!
• All course lessons have make-up lessons imbedded into the program. For example, a 10 week program has the first 8 weeks scheduled as lessons, and the last 2 weeks are kept as reserved for make-up lessons. If there is no rain in the first 8 weeks of lessons, then we’ll gladly run 2 extra weeks (barring rain). If there is rain though in the first 8 weeks of lessons, they will be made up in the reserved last 2 weeks of the program.
• We do not offer make-up sessions for change of mind, work or personal circumstance. Credits and refunds will only be considered in the most extreme of circumstances.

2. Advertised dates, times and coaches of our courses and competitions
• While Camperdown Tennis classes and competitions proceed on the basis of the advertised dates, times and coaches of courses, at times these may be subject to change.
• When this is the case, all reasonable attempts will be made to contact you via SMS.
• Our coaching courses and competitions require a minimum number to proceed. Camperdown Tennis will send a courtesy email or SMS to confirm the course or competition is going ahead and a courtesy email and SMS if the course or competition is being cancelled.
• If you do not receive the courtesy email or SMS confirmation two days before the start date, it is the students' responsibility to contact Camperdown Tennis to confirm the course or competition is going ahead.
• In the event the course or competition is cancelled by Camperdown Tennis due to low enrolments, the course fee will be refunded to the students.
Please Note: Whilst every effort is made to ensure the advertised coach is available for all lessons and competitions, however, illness, accident and misadventure do occur and we ask for your patience and cooperation at times when a stand-in coach is required.

3. Withdrawing from your enrolment or competition
• Approval to withdraw from your enrolment or competition will only be considered when Camperdown Tennis receives at least five working days' notice before the commencement of your competition or program.
• Please choose your course and/or competition carefully as a course refund will be given only when we have received at least five working days' notice before the commencement of the first session of the course and/or competition.
• A $25 administration fee will be charged for processing a refund for a course, and a $100 fee for competitions. If you provide less than five working days' notice, no refund will be available . Please note that changes to work commitments or personal circumstances outside of the above conditions will not be considered as grounds for a refund.

4. Transfers
• You may transfer to another class provided you have given at least five working days notice before the commencement of the first session of the course, there are spaces available and your transfer does not disrupt the class into which you are transferring.
• Transfers of competitions are not permitted.
• If you provide less than five working days' noti ce, no transfer to other courses will be available. Please note that changes to student’s work commitments or personal circumstances outside of the above conditions will not be considered as grounds for a transfer.
• Enrolments in our courses and/or competitions are not transferrable to another person.

ALL COACHED PROGRAMS FOR CHILDREN’S COURSES:

• Size class is at the discretion of Camperdown Tennis.
• Payment is required to secure a place in any program.
• Please choose carefully as enrolments in the children’s programs are not transferable to another child.
• Once payment has been made no refunds are available.
• A transfer to another program is possible provided that there are spaces available.
• In the event of rain, we will advise by SMS if the programs are cancelled. If you don’t hear from us, its game on! We will only cancel bookings for rain if management deems it to be unsafe to play.

ALL COACHED PROGRAMS FOR ADULT’S COURSES:

• Size class is at the discretion of Camperdown Tennis
• Payment is required to secure your place
• Enrolments in courses are not transferable to another person; It is the player’s responsibility to attend the program sessions. If a session is missed it cannot be made up at another date or time
• Once payment has been made, changes to a player’s work commitments or personal circumstances will not be considered as grounds for a refund.
• A transfer to another program is possible provided there are spaces available.
• In the event of rain, we will advise by SMS if the programs are cancelled. If you don’t hear from us, its game on! We will only cancel bookings for rain if management deems it to be unsafe to play.

Spring 2019 Vacation Care Camperdown Commons and Camperdown Tennis

Terms and Conditions

1. No refund of sessions will be permitted. A swap of days, on a case by case basis, if there is availability may be considered.
2. If your child cannot attend, but another child can take their spot, this is permitted, with 2 written days' notice to play@camperdowntennis.com.au , with acknowledgement of the change necessary.
3. Absences (including sickness) are payable for days booked and sessions cannot be transferred.
4. If my child is deemed too sick to attend, it is a requirement that I come and pick them up. Further attendance will require a doctor’s certificate.
5. It is a requirement of enrolment to sign children in/out at the beginning and end of each session. We will not accept responsibility of children not signed in. Children are not permitted to sign themselves in or out.
6. If the person who signed the child in is different to who will be collecting the child, prior written correspondence
to play@camperdowntennis.com.au is required, or the name of the person collecting can be placed in the sign in/out sheet on the day.
7. Staff (where applicable) will move children between Camperdown Tennis and Camperdown Commons.
8. Your child is required to bring a hat, water bottle and food each day. Children will not be permitted to be signed in without these items.
9. If your child will be absent from a session, it is a requirement that we are contacted at play@camperdowntennis.com.au by 8.30am
10. Aftercare is only available for children booked into full day sessions.
11. A late pick up fee will be charged at $50 per 15 minutes or part thereof. This is relevant for sessions that finish at 5.45pm for children booked into the full day program, and children in the half day sessions.
12. In a case of an emergency, if your child has been injured, or is very ill, an ambulance may be called.
13. No administration of medicine for fevers will be conducted (excluding asthma medication, epipens or a letter from your GP with clear administration instructions)
14. No parents/carers are permitted to stay during the duration of the sessions.
15. No photos of other children can be taken by parents. If you would like to take a photo of your child during the drop off or pick up time, just ask one of the staff on the day. We need to make sure we protect the privacy of the other children.
16. Photos of children will be taken during the course of our Vacation Care, which may be used for future marketing purposes by ourselves and partners. If you would not like your child to be photographed, please let us know at the sign-in process, by signing that you would like to opt-out of marketing. It is required that you ‘opt-out’ each day if you desire at the sign in process if you do not wish your child/ren to be in our photos.
17. Camperdown Commons and Camperdown Tennis has taken all due process to ensure these sessions occur as advertised. In the unfortunate circumstance where a session may need to be adapted or changed, we reserve the right to facilitate this change with no notice. We will take necessary steps to advice carers as soon as possible.
18. The program with Pocket City Farms may involve children collecting relevant items from Camperdown Oval Park, next to Camperdown
Commons. They will be supervised the whole time.
19. We reserve the right to contact the emergency contact if your child during the session is disruptive, dangerous, or incompatible with the general enjoyment of other children. It will be your responsibility to pick up your child, and if there are further sessions booked, a discussion will occur between yourself and the Manager. We have a zero tolerance to any child physically and verbally threatening other children and/or staff.
20. You acknowledge that by your child attending Camperdown Commons and Camperdown Tennis' Vacation Care program, and by signing them into their session, that you also agree to these terms and conditions.
21. Camperdown Tennis and Camperdown Commons reserves the right to amend Terms and Conditions.
22. I authorise staff to apply sunscreen to my child if children ask for assistance.
23. We do not accept responsibility for any children’s property brought to the centre. Please ensure all property is labelled. Lost property will be held until three weeks after the programs completion.
24. Information collected by Camperdown Tennis Pty Ltd ATF Camperdown Tennis Unit Trust (Camperdown Tennis) will be used by
Camperdown Tennis and Canterbury Hurlstone Park RSL Club Ltd (CHPRSL) in accordance with the CHPRSL Privacy Policy.
